Asset compliance

Fleet servicing and compliance

An event-based register for a work vehicle fleet that consolidates third-party service reports, prompts custodians automatically, and keeps a permanent record of every communication.

Context

A major Australian rail operator, fleet and business support

Built with

  • Excel
  • Third-party fleet reports
  • Telematics exports
  • Automated email

The situation

Work vehicles carry a servicing obligation with real safety and legal weight behind it. The information needed to meet that obligation was arriving from several directions: the fleet provider’s service due and overdue reports, the telematics and fringe-benefits exports, and whatever the admin team happened to remember about a phone call three months ago. Producing a status report meant deciphering it all again from scratch, every time.

What we built

An event-based fleet register. Anything that happens to a vehicle is an event, and every event is logged against it.

  • Third-party service and telematics reports are consolidated automatically rather than read side by side.
  • The admin team can notify vehicle custodians of due and overdue servicing directly from the register, and the notification is itself logged.
  • Every servicing action, communication and exception stays attached to the vehicle, so the history is permanent and nothing depends on recall.

The result

Servicing compliance moved from something reconstructed on demand to something continuously visible. Vehicles get serviced on schedule, which is both the compliance outcome and the reason the assets last longer.

The clearest signal of how it landed: the team asked for the same system to be extended across their heavy vehicle fleet.
